meeting etiquette one of the truths of schools everywhere is that there will be a meeting for nearly everything a faculty members amount of professionalism at these meetings can make the meetings productive and beneficial or they can create animosity and dissension found below is a list of guidelines that the faculty of evhs high school should follow to achieve the former rather than the latter 1 be on time many meetings cannot start on time because a vital member of the team has either forgotten about it or has not made it on-time the sooner the meeting starts the sooner it will end 2 be prepared when a meeting is scheduled it is important that you have all necessary materials with you if there are assignments that must be completed prior to the meeting make sure that you do not wait until the last minute to do it and of course make sure that you have it with you when you arrive on-time 3 project a positive image many of the meetings in which you participate involve a parent or other non-school personnel nothing can sap the energy from a meeting quicker than projecting the image that you have better places to be even if that is true make sure you project the image that you are glad to be there and that they have your undivided attention 4 know your role know what it is that you are responsible for in the meeting this ties in closely with the guideline of be prepared what is expected of you at the meeting what is the purpose of the meeting are you a facilitator do you have things that need to be said what are your legal as well as professional responsibilities at the meeting 5 stay on task try to keep comments centered on the topic at hand when meetings get bogged down in unrelated matters participants can lose interest or focus and the purpose of the meeting is lost sometimes participants can become frustrated or angry and ruin the mood of the meeting 6 dress appropriately when a meeting has been scheduled with parents or other non-school personnel especially wearing professional attire projects the image that the school knows what it is doing this small detail could play a substantial role in the outcome of the meeting 7 plan ahead if your meeting has been prearranged and will take place during a time that you have a class make arrangements for class coverage dont make appointments outside of school that would conflict with a prearranged meeting 8 be appropriate know the people involved keep conversation relevant and avoid sarcasm and potentially rude comments know when it is an appropriate time to speak avoid interrupting others administrative responsibilities principal s responsibilities mr e g bradshaw jr · entire instructional program · administrative evaluations · budget/finance · community relations and communications · coordination with and reporting to school board · crisis team · curriculum development · instructional team leaders · discipline appeals · school law issues · crime and violence reporting

notify students and parents verbally or in writing immediately when students are failing or not performing in accordance with ability or past performances log all contacts with parents on the parent contact log see appendix be consistent and impartial when grading or disciplining students avoid the appearance of prejudice and impropriety maintain proper conduct in regard to language avoiding vulgarity and obscenity sarcasm has no place in the classroom treat all students and parents in a respectful manner attend all scheduled and called meetings dates for department meetings will be announced faculty meetings and department meetings are mandatory unless absence is preapproved by the principal make-up meetings in the morning or during planning periods will be provided when a problem arises please follow the chain of command speak with your immediate supervisor or instructional team leader assistant principal principal and finally the superintendent perform all assigned duties follow emergency procedures at all times for the safety of students complete and submit accurate reports when due follow and enforce all regulations stated in the student handbook be punctual to class and dismiss students according to the assigned schedule do not hold students beyond the end of the class period causing them to be late to their next class students may never use your networked computer they should never use or answer your classroom phone minimum teachers hours required are 7:45 a.m ­ 3:30 p.m you are to remain at school for the contract day unless you have prior approval from a principal or an assistant principal if you leave for any reason you must sign out in the main office before you leave and sign back in when you return the workday for full-time licensed and professional staff will be a minimum of seven hours and forty minutes and will continue until professional responsibilities to the student and school are completed administrative meetings curriculum development pupil supervision assigned duties parent conferences group or individual planning and extra-curricular activities may require hours beyond the stated minimum work schedules for other employees will be defined by the superintendent or his/her designee consistent with the fair labor standards act and the provisions of this policy culpeper county school board policy 11/03 file gaa evhs duty roster the duty roster will be provided as an appendix when you receive it review it carefully to identify individually assigned tasks adhere to all duty assignments it is your responsibility to find a cover for your assignments if you have a conflict teacher attendance all teachers are expected to comply with the leave policy as stated in the culpeper county school personnel handbook teachers hours are from 7:45 a.m until 3:30 p.m all staff must sign in and sign out daily in the main office after 7:45 a.m a teacher is considered late teachers leaving school early
